Know what is being used

  • List the AI tools staff are allowed to use.
  • Record the business tasks each tool supports.
  • Identify which teams, contractors and service providers use them.

Teach the failure modes

  • Explain hallucination, uncertainty and misleading confidence.
  • Show staff what information must be checked against an authoritative source.
  • Use examples from the organisation’s real tasks rather than generic demos.

Set data boundaries

  • Define what personal, confidential or client data may enter each tool.
  • Document retention, training and supplier data-use terms.
  • Give staff a safe route when they are unsure whether data can be used.

Make human oversight real

  • Name the decisions that require human approval.
  • Ensure reviewers have time and authority to challenge outputs.
  • Record incidents and feed lessons back into guidance.
